Volunteer Orientation Info

Thank you for volunteering to help at the Western Intercollegiate! Volunteers are the heart of every successful event, and together we can ensure that all the student-athletes will have an excellent experience and gain lasting memories!

Tournament Schedule and Layout

Once again, we're excited that the Western Intercollegiate will be broadcast live on the Golf Channel, which will provide prime time coverage for all three days of the tournament. Volunteer schedules each day will be the same, and the final round on Wednesday is set to end at 7pm Pacific Time.

When you arrive

  • Please stop at Pasatiempo's entry gate to pick up your Volunteer (VOL) parking pass for the day.  Since parking is limited, your VOL parking pass will only be valid for the day(s) you are assigned to work.  Follow signs and/or staff directions to the designated street parking location that matches your parking pass.
    • NOTE: If you return later to observe the tournament and do not have a volunteer assignment for that day, you will be issued a general Event (E) parking pass for spectators.  Volunteers park in a different location than spectators.
  • Either get a ride on our complementary shuttle van, or walk to the clubhouse.  Our shuttle vans will operate all day for every day of the tournament, making rounds to all the parking locations on site.
  • Your first stop should be the Volunteer Check-in station (at the clubhouse's front patio, to the right of the main entrance).

While you're at Pasatiempo

  • Snacks and water will be available for you all day at the Volunteer Check-in station.  We will not have refreshment stations on the course, so please be prepared to take your refreshments with you.
  • Each volunteer will receive one meal voucher for each volunteer shift you work, which you can redeem either before or after your shift, at the Grill-at-the-Turn (outside, on the lower level of the clubhouse). The Grill-at-the-Turn will be open from 10:30am to 5:30pm each day.
  • Be prepared to work outside. Dress in layers and wear comfortable shoes.

Spotters for Golf Channel

After you pass Volunteer Check-in, you will go to the Golf Channel compound and report to Tyler Elbrecht, Production Manager for Golf Channel. He will provide training and coordinate your activities with Golf Channel's production crew. He will also provide the equipment you need to fulfill your duties (including radios and player info), which you must return at the end of your shift.

Walking Scorers

Please make sure your smartphone is fully charged when you arrive, since you will use it to submit data for live scoring. You will also be provided with a backup radio, which you will use in areas with poor cell coverage.

This year, we are using a new system for live scoring, so ALL Walking Scorers must check in with Marcus El, Scoreboard Manager, before their first shift starts, to undergo training and receive login information for the Scoreboard app. To avoid bottlenecks at volunteer check-in, we encourage you to prepare ahead of time:

  1. Download the app called "Scoreboard LIVE Powered by Clippd" in advance. (Click one of these links to get the app directly via Apple AppStore and GooglePlay). The app icon looks like this:

        
  2. View the short (3 minutes) step-by-step video tutorial and/or read the online guide .

NOTE: Since the tournament is broadcast live on Golf Channel, it's imperative that you submit scores when your group finishes EVERY hole. If in doubt about cell service or coverage, you must use the backup radio to confirm your group's scores have been logged successfully.

Event Staff / Operations Crew

Volunteers in these roles serve many different functions at the Western, so we appreciate your flexibility. You are critical to a smooth-running event! We will reserve specific assignments for those who request them, or will ask you to fill in an available role.

Additional details on your specific responsibilities for the day will be provided on site at Volunteer Check-in. After you check in, you will report to either Jeff Sanchez or Tim Heitmann, Operations Managers for the tournament. If you haven't already reserved your preferred role, they will determine your assignment based on our needs at the time.

Please remember

While we're all here to support the student-athletes, please refrain from doing anything that would put the competition in jeopardy; that includes talking with the golfers or coaches during their round. There can be no communication that could be deemed advice of any nature during competition.

Also, if you choose to wear college-related apparel (with school colors and/or logos), please keep things low-key. Have fun, but you should not look like school staff while scoring the group, for example.

Lastly, if you are issued a radio to use during your shift, remember to return it at the end of your shift, so we can charge it for the next day. You must return it to tournament staff at the Volunteer Check-in station (or to Tyler Elbrecht if you're a Spotter for Golf Channel), or you will be responsible for the cost of your radio if it goes missing.
